Laurel Juneteenth Planning Committee Meeting – April 26, 2023

May 3, 2023 MEETING WILL BE VIA ZOOM

Meeting commenced at 6:11pm

Roll call: Vice Chair Sandra Choute. Members: Ummie Modeste and Troy Griffith.

The Mayor approved the Committee’s (Cmte) budget. $3,000 was approved for year 2023.

$3,000 was approved for year 2024. The initial budget request of $6,000 was not met, however

we anticipate the remainder funds be picked up under sponsors/vendor fees.

Flyers for save the date are being printed and will be sent out to Laurel residents in

English/Spanish.

Next is the banner, hopefully to be displayed at Laurel’s Main Street Festival on May 20, 2023.

Chair Peterson is awaiting the dimensions of the banner before printing.

We will start advertising for the Juneteenth event on City of Laurel’s social media and

Juneteenth Cmte’s social media. Per Laura’s suggestion, we should request the City of Laurel’s

communication department post a weekly reminder to followers of the page.

Ummi inquired as to what comes with being a sponsor. Sponsorship include your business logo

being featured or said business is able to attend and distribute their product.

Laura suggested teaming up with restaurants to do a Juneteenth cross promotion. In other words,

a portion of their proceeds collected will go to the Juneteenth Cmte funds. This led to some

brainstorming to request businesses create a coupon-like discount for the Juneteenth Cmte to

distribute. Then, when customers use the coupon, the proceeds will go to the Cmte. All awesome

ideas, however we may be too far in the game to develop this in full.

Prosperity Clinic, our partner in putting together the Juneteenth event, will cover the Deejay.

From the vendor sub-committee: Vendors are inquiring how to pay. Vendors are finding it

difficult to send a physical check and much more prefer paying online or other electronic

payment. (note: since this meeting, we have been notified there is an online option for vendors to

pay. It was provided by Sara and Andrea (City of Laurel))…

Next, Secretary Griffith will contact Prospertiy Clinic to retrieve their vendor information (the

Cmte will honor their vendors fee of $50 (regardless of service provided)).

Also, as suggested by Joyce, vendors who are serving food will need a permit. Secretary Griffith

will forward those vendors information to the Budget and Personnel Dept. Thanks to Joyce for

the heads up.

Ummi will follow up with Laurel Board of Trade (LBOT) as to whether the Cmte will have a

booth without cost at Laurel’s Main Street Festival. Note: since this meeting, LBOT agreed to

provide the Cmte a booth without cost. Yayyyy Ummi.

Weekly reminders: 1) If you’re unable to attend meetings, please feel free to submit ideas,

suggestions, or comments. 2) all are welcome to have friends and family members volunteer for

the committee either on planning or the day of the event.
